Privacy & cookie policy of ZNW BV — Zonnewende Festival · On The Beach · × Garage Club · ZNW Merch

1. WHO WE ARE

This privacy policy applies to all activities of ZNW BV ("ZNW", "Zonnewende", "we"), with registered office at Heilig-Kruisstraat 12, 2640 Mortsel, Belgium, registered under company number BE 1028.392.713. ZNW organises, among others, Zonnewende Festival, Zonnewende On The Beach and Zonnewende × Garage Club, and operates the ZNW webshop and the websites zonnewende.club, tickets.zonnewende.be and related subdomains (together: the "Platform").

2. WHAT DATA WE COLLECT, AND WHY

We only process the data needed for the purpose for which you provide it. Per situation:

Situation	Data · purpose · legal basis
Newsletter	Email address, chosen brand preferences (festival/beach/garage/merch), signup source and campaign parameters (UTM), time of consent and confirmation (double opt-in). Purpose: sending news, ticket announcements and offers. Legal basis: consent (you can unsubscribe at any time via the link in every email).
Tickets	Name, email address, order details, payment reference (payment data is processed by the payment provider and never stored by us), age verification where applicable. Purpose: performance of the ticket agreement, access control, service communication about the event (e.g. changes, practical info). Legal basis: performance of a contract; service emails: legitimate interest.
Webshop (merch)	Name, delivery and billing address, email address, phone number (for delivery), order, payment reference. Purpose: performance of the purchase agreement, delivery, returns handling, statutory accounting obligations. Legal basis: performance of a contract and legal obligation.
Website & app features	Technical data (IP address, device type, browser), cookies and similar technologies (see art. 6), local preferences such as "My Lineup" (favourite artists are stored only locally on your device and are not sent to us). Purpose: proper functioning, security, statistics, marketing. Legal basis: legitimate interest (strictly necessary cookies) and consent (analytics/marketing cookies).
Event imagery	Photo and video recordings made at our events, incl. atmosphere shots in which visitors may be recognisable. Purpose: reporting, aftermovies, promotion. Legal basis and details: see art. 5.
Social media & UGC	Public content in which you tag or mention us (e.g. @zonnewende.club); interactions on our channels. Purpose: community engagement, re-sharing with credit (see also our terms & conditions). Legal basis: legitimate interest; where we reuse your content we ask permission where possible.
Applications & crew	Contact and CV data of candidates, volunteers and crew. Purpose: selection and planning. Legal basis: pre-contractual measures. Retention: max. 1 year after the selection ends, unless you agree to longer.
Customer service	The content of your emails or messages and the data you share in them. Purpose: handling your request. Legal basis: legitimate interest.

Signup uses double opt-in: you only receive emails after confirming your email address.
You choose which brands you receive news about (Festival, On The Beach, Garage Club, Merch) and can change those preferences or unsubscribe entirely at any time via the link at the bottom of every email.
Existing customers may receive emails about similar own products or events based on legitimate interest ("soft opt-in"); you can object to this at any time.
We never sell or rent your data to third parties.

4. ADVERTISING, AUDIENCES AND MEASUREMENT

We advertise on platforms such as Meta (Facebook/Instagram), TikTok and Google. In that context, and only with your cookie consent:

advertising pixels and server-side measurement integrations (such as the Meta Conversions API and TikTok Events API) may be used to measure campaign reach and results;
hashed email addresses of subscribers or customers may be shared with those platforms to build "custom audiences" or "lookalike audiences". This only happens where you consented at signup or via your cookie choices, and you can withdraw that consent at any time via info@zonnewende.club.

For certain processing these platforms act as independent data controllers; please also consult their own privacy statements.

5. EVENT IMAGERY (IMAGE RIGHTS)

Atmosphere shots. Photo and video recordings are made at our events for reporting and promotion (website, aftermovies, socials, press). For non-targeted atmosphere shots of the crowd we rely on our legitimate interest; you are informed through the visible presence of photographers/cameras and notices in the house rules and ticket conditions.
Targeted images. For clearly targeted, individual images (close-ups, interviews) we ask for consent, subject to journalistic exceptions.
Your rights. If you are recognisably and specifically depicted and want removal from our channels, email info@zonnewende.club with a description or link; we will remove or anonymise as soon as reasonably possible, unless overriding interests apply (e.g. already printed material, archive, press freedom).
Camera surveillance. For safety reasons, camera surveillance may be present on event sites in accordance with the Belgian camera legislation; footage is kept for max. 30 days unless needed as evidence.

6. COOKIES AND SIMILAR TECHNOLOGIES

On your first visit we ask for your choice via the cookie banner. We always place strictly necessary cookies; analytics and marketing cookies only with consent. You can change your choice at any time via "cookie settings" in the footer.

Category	Examples and retention
Strictly necessary	Session and security cookies, your cookie preference itself, cart/checkout of the webshop and ticketshop. Retention: session up to max. 12 months.
Functional (local storage)	"My Lineup" favourites and similar preferences in localStorage. These stay on your own device and are not sent to our servers or third parties. You can clear them via your browser settings.
Analytics	Statistics about site usage (pages visited, origin) to improve the Platform, anonymised/aggregated where possible. Retention: max. 26 months.
Marketing	Pixels/tags from Meta, TikTok and Google for campaign measurement and (re)targeting; third-party embeds (e.g. Spotify, YouTube, ticketshop widgets) that may set their own cookies once you use them. Retention: per the third party's policy, generally max. 13 months.

Slim naar Antwerpen widget. On our mobility pages we embed the Slim naar Antwerpen widget, containing a mobility map and route planner. This widget uses necessary cookies that collect non-personal data, namely how often the "show on map" and "give me travel advice" buttons are clicked inside the widget and from which site those clicks come. This helps Slim naar Antwerpen improve the widget and block abuse. Questions about this processing can be sent to the data protection officer of the city of Antwerp at informatieveiligheid@antwerpen.be.

Only with parties needed to deliver our services, under a data processing agreement where required:

Ticketing and payment providers (incl. our ticketshop at tickets.zonnewende.be and the payment service providers used);
Hosting and platform suppliers (incl. Lovable and Supabase for website and databases, email delivery platforms for the newsletter);
Logistics partners for the webshop (printing, fulfilment and postal services);
Marketing and social media platforms as described in art. 4;
Professional advisers (accountant, lawyer) and authorities where legally required.

Some suppliers process data outside the EEA (incl. the US). In that case we rely on an adequacy decision (such as the EU-US Data Privacy Framework) or on standard contractual clauses with additional safeguards.

8. HOW LONG WE KEEP DATA

Data	Retention period
Newsletter data	Until you unsubscribe; thereafter max. 3 months on a suppression list to respect your choice.
Customer and order data	7 years after the financial year (statutory accounting obligation).
Ticket data	Up to 2 years after the event (service, complaints, safety); invoicing data 7 years.
Imagery	Indefinitely as part of the archive; removal on request as per art. 5.
Analytics data	Max. 26 months.
Applications	Max. 1 year after the selection ends, unless longer with consent.

9. SECURITY

We take appropriate technical and organisational measures: encrypted connections (HTTPS), role-based access control and row-level security on our databases, need-to-know access, and contractual arrangements with processors. No system is 100% secure; in the event of a data breach posing a risk to your rights we will notify the Belgian Data Protection Authority and, where required, you.

10. YOUR RIGHTS

You have the right of access, rectification, erasure, restriction, data portability, and the right to object to processing based on legitimate interest and to direct marketing (at any time, free of charge). You can withdraw consent at any time without affecting prior processing.

Exercise your rights via info@zonnewende.club. We may ask you to identify yourself. If you are not satisfied, you can lodge a complaint with the Belgian Data Protection Authority (GBA/APD), Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be, or with the supervisory authority of your country of residence.

11. MINORS

Our newsletter and webshop are not aimed at persons under 16; deviations are possible with parental consent. Some events (incl. Zonnewende × Garage Club) are strictly 18+; age checks at the door are possible. If we discover we are processing a minor's data without consent, we will delete it.

12. CHANGES

We may amend this policy (e.g. for new services or legislation). The current version is always available on the Platform with its version date. For substantial changes we will actively inform you where reasonably possible.
